The Maintenance Clerk (MC) reports to the Maintenance Manager/Supervisor. The MC will support the entire maintenance department; and assist the EAM Administrator in organizing preventative maintenance work orders, repair work orders, and entering into Oracle’s EAM system. The MC will interact with all departments to ensure parts, supplies and resources are available to accomplish work assignments within the plant in a timely manner. The MC will also be responsible to fill in for other personnel as needed within the Oracle environment.

Essential Functions

  • Receives and reviews daily “Equipment Operator Inspection Reports” and inputs data into Oracle Trouble Log.
  • Coordinates job assignments after designation from site Plant Manager.
  • Responsible for the daily entry of the man-hours reports, as well as daily entry of fuel usage, oils consumed and equipment hours via Oracle check sheets.
  • Generate accurate and detailed reports to the costs associated to a particular asset, department, facility or equipment history as needed.
  • Works with Fixed Asset Department to ensure proper placement of equipment for depreciation.
  • Ensures maintenance related requisitions are filled out before forwarding them on to the Purchasing Agent for processing.
  • Assists in expediting the requisitions in open status and all open purchase orders that have been placed but not received.
  • Monitors critical orders that have longer lead times to ensure delivery is made as promised.
  • Works closely with the Purchasing department to ensure that the original packing slips are obtained and matched with original purchase orders for processing.
  • Works with Purchasing to make sure OEM work orders are itemized and correct prior to PO creation and approval.
  • Responsible for generating monthly reports including: consumed fuel report for region; Work Order Cost Summary Report; Work Order Status Report.
  • Responsible for generating work orders through the Maintenance Workbench and forecast.
  • Coordinates work orders with the mechanics throughout the day.
  • Responsible for tracking equipment operational hours, monitoring and scheduling preventative maintenance of equipment to include fluid sampling, usage and wear trends.
  • Under direction of the Maintenance Manager, coordinates repairs and services in such a manner as to cause minimal impact to production department the unit is assigned to.
  • Reviews all inventory issued work orders and adds to asset BOM.
  • Assists in making certain operating equipment being repaired by outside contractors is properly quoted before work proceeds, scope of work is defined and quoted by line item and once approved work is completed in a timely manner.

Qualifications

  • High school degree or equivalent
  • 2-5 years administrative experience
  • This position requires possession of a valid driver’s license and the ability to drive an automobile
  • Proficiency in all Windows XP applications, including Outlook
  • Typing and 10-key competency
  • Accuracy and attention to detail
  • Excellent professional, oral and written communication skills with all levels of personnel and customers.
  • Ability to: prioritize multiple projects, work well in a time sensitive environment, follow instructions furnished in written, oral, or diagrammatic form, and deal with problems involving several specific variables in or from standard situations. Needs to be flexible.
