Job Description

The Licensing Coordinator will maintain licenses and permits nationwide for Schnitzer Steel's metals business, including primary responsibility for renewals. S/He will assist with initial centralization process for the metals business licenses. This person will create and maintain file system for each site and applicable licenses. Maintain a tracking mechanism for items received and progress made. Ensure that sites have all applicable licenses by conducting research and applying for new licenses, as needed. Cross-train with Licensing Manager on auto parts business license maintenance.

Essential Functions:

  1. Maintain electronic database on the company intranet for all licenses for Metals Recycling Business.
  2. Track upcoming, pending & submitted license renewals.
  3. Collect prior license applications, renewals and related documents from sites.
  4. Contact agencies for forms and information required to process renewals.
  5. Obtain bonds, insurance certificates, and supporting docs to maintain licenses and permits.
  6. Process checks requests, mail and track payments.
  7. Create and maintain files for hard copy documents, to include file folders, binders, etc.
  8. Perform data entry in License HQ database with accuracy and attention to detail.
  9. Perform periodic database audits to ensure adherence to current data entry protocols for consistency
  10. Mail original licenses to the sites for posting, as required by law.
  11. Build relationships across the company through contact with operational sites by phone or e-mail to obtain information and check on status of renewed licenses.
  12. Capture existing institutional knowledge (tips and issues noted by individual responsible persons) and document this information in License HQ, so it is retained and available for future license renewals.
  13. Maintain and provide a metric/progress report for Licensing Manager.
  14. Apply for and track employee Salesperson and VIN Verifier Licenses, as needed.
  15. Conduct research of licenses/permits for new sites, or as needed, working with Supervisor or Project Managers.
  16. Ability to review land use reports or other governmental reports and identify issues for Supervisor or Project Managers.
  17. Process the cancellation of licenses.
  18. Maintain/update desk procedure manual.
  19. Handle multiple tasks.
  20. Knowledge of company policies and procedures.
  21. The Licensing Department is part of the SSI Legal Department, and the ability to maintain confidences and keep information confidential is required.
  22. Other duties as assigned.
Required Experience

Qualifications:

  1. Some college courses completed, preferred.
  2. General PC proficiency and strong skills in MS Word and Excel are required, along with experience composing basic spreadsheets and a number of types of professional documents.
  3. Experience with License HQ or similar complex database, preferred. In the alternative, ability to learn how to perform basic searches and maneuver within electronic database required.
  4. Providing excellent customer service to internal employees, as well as external agencies.
  5. Perform quality work efficiently.
  6. Ability to meet deadlines.
  7. Analytical thinking is an important asset, as this position will often require prioritization of multiple work tasks and requests.
  8. High level of organization and ability to exude a positive image that reflects well on the Company.
  9. Able to sit in one place and/or perform work at a computer for two-hour intervals a minimum of eight hours per day.
  10. Able to bend, squat, walk, and climb stairs.
