Job Description

The Compliance Coordinator & Policies and Procedures Administrator (CC) reports to the Vice President, Chief Compliance Officer & Deputy General Counsel (CCO). The CC provides organizational and administrative support to all members of the Corporate Compliance Department and administers the Company’s Policy and Procedures Library.

The CC will have responsibility for proactively coordinating activities, including keeping abreast of multiple projects and activities. The CC must effectively problem-solve, multi-task and prioritize in a fast-paced deadline driven environment. A welcoming and professional demeanor is essential as the CC will interact with employees at all levels of the organization as well as with customers, suppliers and other third parties. Consistent attention to detail will make the CC position successful. The CC must be highly skilled at preparing complex documents and presentations. The CC must be able to maintain strict confidentiality and work from general guidelines.

This position operates within defined parameters. The primary goal of this position is to achieve excellence in all facets of the position.

Essential Functions:

  • Monitoring the Compliance team’s schedules, priorities and deadlines, and proactively preparing necessary materials and providing coordination assistance.
  • Scheduling meetings, arranging conference calls and webconferences, updating calendars, and arranging for off-site meetings.
  • Performing high level word processing, modifying, proofreading, mailing, emailing and delivering essential documents as directed by the members of the Compliance Team.
  • Arranging all travel (domestic and complex-international) including procuring travel visas, passport renewals, etc. necessary for the members of the Compliance Team.
  • Creating and modifying detailed and creative PowerPoint presentations.
  • Maintaining files, distributing mail, domestic and international shipping, monitoring email, answering phones, taking messages, performing telephone transfers, ordering supplies as needed and processing expense reports.
  • Creating and maintaining tracking protocols for various initiatives and maintaining the Compliance SharePoint site.
  • Maintaining all Department files, both electronic and paper.
  • Creating and maintaining Excel spreadsheets as needed by the Department and creating charts and graphs from those spreadsheets.
  • Maintaining strict confidentiality of highly confidential information to which the CC will be exposed.
  • Monitoring and ensuring maintenance of multiple memberships and Continuing Legal Education Requirements.
  • Assisting with formulation of annual department budget and performing monthly budget reconciliations.
  • Assisting with procuring Purchase Orders and tracking of expenditures accordingly.
  • Managing the Company’s Policies and Procedures Library, including review, distribution and coordination of approvals for all new and updated company policies, procedures and forms.
  • Drafting general correspondence in a clear and grammatically correct manner.
Required Skills
  • High School or GED with college business classes preferred.
  • Minimum three years’ experience as an Executive Assistant or Department Coordinator, or equivalent combination of education or work history.
  • Strong interpersonal skills.
  • Friendly and professional on the telephone, as well as in person. Willingness to sit at a computer station and type (word process).
  • Expert at Outlook, PowerPoint, Excel (advanced quantitative functions not required) and Word. Proficient at Acrobat, Chrome and Explorer. Familiarity with Workshare Professional, SharePoint, some Oracle and Serena Business Mash-Ups; experience with Photoshop preferred but not required.
  • Typing and word processing at 85 wpm with good accuracy.
  • Ability to work in informal setting while maintaining self-motivation.
  • Willingness to remain flexible in setting goals, including shifts in priorities as directed by the Compliance Team.
  • Willingness to work occasional overtime.
  • Ability to multi-task effectively with constant interruptions

Required Experience
